The quick answer
| Producify | Spreadsheets | |
|---|---|---|
| Best for | Agencies done re-building reports every week | Solo producers or very small shops (1–4 producers) |
| Focus | Performance intelligence platform | Whatever you build in them |
| Setup cost | Minutes to onboard | Hours per new sheet, forever |
| Ongoing cost | One price for the whole agency — see the home page | Your time every week |
| Standout | Dashboards from your uploads, Ask Ivy, lead ROI, commission and bonus math | Total flexibility |
| Known gap | Less free-form than a blank sheet | No live data, errors compound, tribal knowledge |
Where spreadsheets still work
Spreadsheets are the right tool for the simplest cases. No shame.
Pick spreadsheets if:
- You're solo or nearly solo. 1–4 producers, simple commission math, small lead flow. A spreadsheet can hold that.
- You enjoy building your own views. Some principals genuinely like the process. Time is cheap if you enjoy it.
- You're pre-hire. If you don't have producers yet, there's nothing to track. A spreadsheet is plenty.
- You already have a bulletproof system. If your spreadsheets have worked for years, nobody makes mistakes, and you never need an answer on the spot, keep them.
Where they break down
Spreadsheets usually stop keeping up at around 3–5 producers.
Here's what breaks:
Producer name mismatches
One carrier report calls your producer "J. SMITH." Another calls her "JANE SMITH." Your payroll calls her "Jane Smith Jr." Every Friday someone spends an hour cleaning up the names in your commission tracking sheet.
Broken formulas nobody notices
A slip in a copy-paste breaks the total in one cell. Nobody sees it for 3 months. You pay a producer the wrong bonus. The dispute takes a week to resolve.
"Final final v3" filename syndrome
Who has the current version? Who changed it last? The wrong version gets used to run pay. Real money moves on stale numbers.
No live dashboards
Your Monday meeting uses last Friday's numbers. Producers write sales over the weekend, but nobody sees them until the next upload. Coaching conversations happen 7 days late.
No lead ROI at all
Most agencies never work out which lead provider pays off. The math needs three separate spreadsheets, and they don't connect. The result is lead spend nobody measures.
Tribal knowledge risk
Your pay plan lives in your head and in one cell of one sheet. If you get sick, nobody can run pay. If that person leaves, the sheet becomes a mystery.
The hidden cost of spreadsheets
Be honest about what spreadsheets actually cost.
| Cost | What it looks like |
|---|---|
| Rebuilding reports | Hours every week, from whoever keeps the sheet |
| Commission mistakes | A share of commission paid wrong, then argued over |
| Lead spend nobody measures | Money that keeps going to providers that never pay back |
| Missed bonus milestones | Coaching moments you didn't catch in time |
| Pay disputes | Hours each time, re-adding a month by hand |
What moving to Producify actually costs
Time
- Initial setup: the setup wizard says to allow about ten minutes. Add the time to upload your sales history and describe your commission plans.
- Each week: upload the latest sales and leads files, then read the pages.
Money
- One price for the whole agency, every feature and every team member included — see Pricing on the home page.
- Final pricing is set before public launch.
What you give up
- The freedom to build any view you like in 10 minutes. Producify comes with its pages already built, so it is less free-form than a blank sheet.
- The "I built this myself" ownership. Your numbers live in Producify, not in a file on your laptop.
- Working offline. Spreadsheets work on planes. Producify needs the internet.
All three are real. They rarely outweigh the time you save and the mistakes you avoid, but they are fair costs to name.
Our honest take
If spreadsheets genuinely work for you — not "we tolerate them," but genuinely work — don't switch. The effort of moving isn't worth it.
If spreadsheets are eating hours a week, hiding mistakes, or keeping you from answering basic questions like "which producer is ahead this month, which lead source is profitable, which bonus is this producer about to hit" — the case for switching is usually easy.
The cleanest way to decide: run Producify alongside your spreadsheet for a month. If the dashboard answers the questions your spreadsheet can't, or answers them much faster, the choice makes itself.
Frequently Asked Questions
Can I still export to CSV for my own analysis?
Yes. The owner can download everything in the office as a ZIP of spreadsheets from Settings. Your data never gets locked in.
What about the spreadsheets I already have?
Import what matters and keep the rest where it is. Your production history comes in by spreadsheet upload, and your commission plans are built from what you describe.
Can I keep using Excel for side analyses?
Of course. Producify holds the numbers and does the math the same way every time. Excel stays useful for ad-hoc work.
Is Producify safer than a spreadsheet?
For most agencies, yes. Spreadsheets on shared drives are hard to keep private, and mistakes pile up unnoticed. In Producify each person sees only the pages and numbers the owner allows, and the math is done the same way every time.
What if my accountant needs the raw data?
The owner can download the office's data from Settings and send the accountant the sheets they need.
What happens to my data if I leave Producify?
The owner downloads everything as spreadsheets from Settings, and can delete the office's data there too.
