What Is Producer Capacity in an Insurance Agency?

Published · Last updated

Producer capacity is the most business a producer can handle well with the time, skills and tools they have today.

What it is

Below capacity, more leads mean more sales. Past it, more leads mean leads called late, quotes not followed up, and a falling close rate.

How to spot it

Watch three numbers for each producer, month by month: leads given to them, quotes they give, and their close rate on those quotes. When leads and quotes go up and the close rate goes down, they have passed capacity.

Example. A producer gives 100 quotes a month and closes 30%: 30 policies. You send more leads, and quotes rise to 150, but the close rate falls to 20%: still 30 policies. The extra leads bought nothing, and the leads nobody had time for were lost.

Other signs: new leads waiting hours for a first call, and customers complaining about slow replies.

Why it matters for hiring

Hire when your producers are at capacity, not when revenue grows. Hire too early and you pay for time nobody needs yet; too late and you lose the customers nobody had time for.

How Producify works it out

In Producify, a person's Activity tab has a Quotes card with Close % by period.

Read it beside the quotes: a close % that falls as quotes rise is the sign above. See See your quote conversion.

Frequently Asked Questions

Can I raise a producer's capacity?

Yes, by taking work off them: a service rep for renewals and changes, or faster quoting tools.

Does capacity differ by product?

Yes. Auto is many small sales, and commercial is few large ones that take much longer each. A number from one line does not carry to another.
